Role Description

Position : Seasoned Executive Assistant

Work Hours (Client) : at least 5 working hours that cross 08:00 – 17:00 ET. (Example: 14:00–22:00 SAST aligns perfectly with 08:00–16:00 ET.) – my mornings in particular are important so someone that can be very responsive in that time

Pay Range : $1500 - $2500 USD/month (varies based on skill set and experience level)

Location of Search : South Africa or Any Region

Work Location : REMOTE


Ideal Candidate Profile

I see my assistant as the ultimate extension of me. They protect my time, they fill in the gaps, they keep my time/attention highly leveraged on the key items that can move the business forward. In an ideal world, my assistant becomes the lever that helps me 10X the business


I am looking for the following traits:

  • Highly Experienced: They've been a professional EA before — not learning on the job. This will be my first EA so I want someone who has done the role several times before. They are experienced, they can hit the ground running and also help in coaching me so I can set them up for success
  • Clear & direct communicator: The biggest thing I look for is are they a great communicator both verbally and written. I want someone that is a strong copywriter (they can answer email well, communicate promptly and well with guests, communicate well in internal Slack channels) – the ability to communicate at a high level will set the winning candidate apart
  • High attention to Detail: they hate small mistakes (spelling errors, double spaces, bad grammar). They have an extremely high care level for the small details
  • Calm under pressure: they are not easily flustered or panicked. Things move fast here and there is a lot happening. They must be calm, clear & organized in their thoughts
  • Quick: during working hours, they are fast, they are responsive
  • Highly organized & system thinker: they remember key items that I may have missed, they are organized and consistent everyday. 
  • Proactive: they are always thinking one step ahead – how can we make 1% progress. They are also a proactive communicator. They mention things before it becomes a problem
  • Critical thinker: They know what matters vs noise — without needing constant input.
  • Older & woman preferred: this is not required but preferred ( I want someone who is opposite of me)

Primary Responsibilities

  • Own and protect Calum’s calendar (schedule, flow, energy management).
  • Writing: emails, internal Slack messages, social media copy
  • Organize Gmail inbox (tagging, filtering, drafting clean responses).
  • Coordinate guest bookings, studio bookings, production schedules.
  • Travel & events: book flights, hotels, visas; handle on‑site logistics when you record on location or host meet‑ups.
  • Metrics reporting: pull weekly dashboards from YouTube Studio, IG Insights, Apple Podcasts, flag anomalies and growth opportunities.
  • Update financial records for book-keeper
  • Set up and maintain Notion dashboards, internal templates, SOPs.
  • Repurpose Instagram content onto Twitter & YouTube posts.

 

Non‑negotiables

  • Daily overlap with U.S. Eastern Time: at least 5 working hours that cross 08:00 – 17:00 ET. (Example: 14:00–22:00 SAST aligns perfectly with 08:00–16:00 ET.) – my mornings in particular are important so someone that can be very responsive in that time
  • Real‑time responsiveness: urgent Slack/email pings answered in minutes; routine items cleared the same business day.
