Position: Executive Assistant to CEO
Reports to: CEO
Place of Work: Remote
Working Hours: 2:00 PM – 10:00 PM AEST (Monday – Friday)
Salary: R30 000 per month
Role Overview
The Executive Assistant will provide high-level support to the CEO, ensuring smooth operation of day-to-day activities and strategic initiatives. This role is critical in managing communications, scheduling, and operational oversight across all departments within the business. The ideal candidate thrives in a fast-paced environment, can prioritise tasks independently, and has strong organisational and systems implementation skills.
Key Responsibilities
1. Email & Communication Management
Monitor, prioritise, and action incoming emails and correspondence.
Draft responses on behalf of the CEO where appropriate.
Ensure important communications are escalated and tracked for follow-up.
2. Scheduling & Calendar Management
Manage and optimise the CEO’s calendar, prioritising meetings and commitments.
Schedule internal and external meetings, ensuring alignment with priorities.
Coordinate across departments to ensure timely attendance and preparation for meetings.
3. Business Operations & Planning Support
Assist with business planning, strategy implementation, and departmental coordination.
Help set up and maintain a management system to oversee all departments effectively.
Track progress on departmental KPIs, targets, and project timelines.
Follow up on action items and deadlines to ensure accountability.
4. Project & Systems Implementation
Collaborate with the CEO to design, implement, and maintain operational systems.
Support the roll-out of new processes, ensuring teams are aligned and trained.
Continuously improve efficiency and workflow across the organisation.
5. Strategic Support
Prepare briefings, reports, and presentations for internal and external stakeholders.
Assist with special projects, research, and analysis to support decision-making.
Identify opportunities for optimisation and operational improvements.
6. Other Duties
Act as a central point of contact between the CEO and department heads.
Maintain confidentiality and exercise discretion with sensitive information.
Perform ad-hoc tasks as required to support the CEO and business objectives.
Required Skills & Qualifications
Proven experience supporting C-level executives, preferably in property, real estate, or fast-paced business environments.
Strong organisational, prioritisation, and time-management skills.
High level of initiative and ability to work independently in a remote setting.
Excellent written and verbal communication skills.
Proficient with scheduling tools, project management platforms, and CRM systems.
Experience in designing and implementing management systems or operational processes.
Strong analytical and problem-solving skills
