We are seeking a highly skilled and proactive Executive Assistant to support the CEO of a large, multi-location private EMS organization with approximately 2,800 employees. This is a trusted, senior-level role that serves as a critical partner to the CEO, enabling focus, efficiency, and execution across five operational locations.
The Executive Assistant will manage complex scheduling, oversee all travel logistics, and serve as a key liaison between the CEO company stakeholders. The ideal candidate thrives in a fast-paced, high-accountability environment and brings strong judgment, discretion, and attention to detail.
Key Responsibilities
Executive Support
- Provide comprehensive administrative support to the CEO, ensuring seamless day-to-day operations
- Anticipate needs and proactively manage priorities to optimize the CEO’s time and effectiveness
- Handle confidential and sensitive information with professionalism and discretion
Calendar & Meeting Management
- Own and manage a dynamic, multi-location executive calendar
- Coordinate internal and external meetings
- Schedule meetings strategically to align with operational priorities and travel requirements
- Prepare agendas, briefing materials, and follow-up items as needed
Travel Management
- Serve as the CEO’s primary travel coordinator and travel agent
- Plan and manage all travel logistics across five locations, including flights, lodging, and ground transportation
- Monitor and adjust travel arrangements in real time as schedules and operational needs change
- Ensure travel plans are efficient, cost-effective, and aligned with executive preferences
Executive Communication & Liaison
- Act as a point of contact between the CEO and internal leadership teams
- Screen, prioritize, and respond to communications on behalf of the CEO when appropriate
- Facilitate timely communication and follow-through on executive priorities
Administrative & Operational Support
- Track commitments, deadlines, and action items related to executive initiatives
- Assist with preparation of executive correspondence, reports, and presentations
- Support special projects and strategic initiatives as assigned
- Coordinate logistics for executive leadership meetings and offsite events
Qualifications
Required
- 2+ years of experience supporting a senior executive, preferably at the CEO or C-suite level
- Demonstrated experience managing complex calendars and frequent executive travel
- Strong organizational skills with exceptional attention to detail
- Ability to operate independently, prioritize effectively, and adapt to changing demands
- High level of professionalism, discretion, and integrity
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office, TEAMS, and executive scheduling tools
Preferred
- Experience working in a multi-location or high-growth environment
- Familiarity with executive-level project coordination
